A good weekend automation is small enough to finish and useful enough to explain on Monday. It should remove one repeated step, leave a clear review trail and make exceptions visible. It does not need to run your finance department.
The five projects below are learning prototypes. The time boxes are our estimates for someone comfortable with spreadsheets and the chosen tool, after access is ready. Getting permissions, solving messy source data and deploying a reliable live process can take longer. Use synthetic or approved anonymised data first.
Pick one project, not five
- Easiest starting point: an email briefing that saves a draft for you.
- Best for accounting fundamentals: a bank-to-ledger matching worksheet.
- Best for learning document AI: extract invoice fields into a review queue.
- Best for integration practice: create a draft bill in an accounting sandbox.
- Best for operations teams: track fleet fine notices and route them for review.
1. Bank reconciliation: build a matching assistant
Weekend scope: 4 to 6 hours with two clean CSV files.
Start with one bank account, one currency and a small month of bank and ledger transactions. The result is a suggestion sheet, not an automatic accounting adjustment.
- Normalise dates, amounts, signs and references in Excel Power Query or Sheets.
- Match exact reference and amount first. Use a limited date window only when it makes sense for the process.
- Separate one-to-one suggestions, ambiguous matches and unmatched items. Keep the original row IDs.
- Ask an AI assistant to help explain exceptions or draft code, while deterministic rules do the arithmetic.
- Produce opening balance, movement and closing-balance checks so a missing file row cannot quietly disappear.
Done when: You can explain every suggested match, identify deliberately inserted duplicates and reconcile the input totals to the outputs.
Keep this boundary: Do not auto-post journals, clear transactions or assume that similar descriptions prove a match. Split settlements, fees, FX and timing differences belong in a reviewer queue.

2. A document reader for a Drive folder or email inbox
Weekend scope: 3 to 5 hours for one document type and 10 test files.
Build a small intake process for supplier invoices. n8n, Make or Zapier can coordinate the steps, with an OCR or document-capable model extracting fields.
- Watch a dedicated approved folder or mailbox label. Do not start with the whole company mailbox.
- Record the source file ID and link before extraction.
- Extract supplier name, invoice number, invoice date, currency, net, tax and gross into a fixed schema.
- Check that net plus tax agrees to gross within a defined rounding tolerance, and flag missing fields.
- Keep uncertain records separate and link each result back to the original document.
Done when: A reviewer can check every field against its source, and a blurred or incomplete invoice is flagged instead of invented.
Keep this boundary: Invoices are untrusted inputs. Text inside a document must not become instructions to send emails, change bank details or bypass an approval. Restrict the workflow’s permissions.
3. An email briefing agent that prepares your morning
Weekend scope: 2 to 4 hours using a single test label or folder.
Instead of an agent replying to people, create a private briefing that helps you decide what deserves attention.
- Use a read-only connection where supported and limit the source to a finance test folder.
- Collect sender, subject, received time and a source link.
- Ask for a short summary grouped into deadlines, decisions needed and information only.
- Require quoted or linked evidence for dates and amounts. If the email is unclear, say so.
- Save the briefing as a draft document or a private task list for your review.
Done when: You can open the source of each action item and an email containing “ignore your rules” does not redirect the workflow.
Keep this boundary: Do not allow auto-replies, payments or attachment forwarding in the first build. Minimise personal and customer data sent to external AI services.
4. Invoice to books: prepare a draft, then let a person approve
Weekend scope: 5 to 8 hours if an accounting sandbox and API access are already available.
Take the document-reader output and prepare a supplier bill. This is where a demo becomes accounting work: supplier identity, tax treatment and chart-of-accounts mapping matter more than the extraction screenshot.
- Choose one system and one narrow transaction type. Use a sandbox or test organisation.
- Map supplier IDs and approved account/tax codes from controlled reference lists. Do not ask AI to invent master data.
- Use a unique source ID and a duplicate key such as supplier plus invoice number, with a documented exception process.
- Create a draft or review-stage record using a supported method. Store the returned system ID and original invoice link.
- Test a duplicate delivery, missing supplier, invalid tax code and API timeout before trying a live workflow.
Done when: One valid test invoice becomes one reviewable record, while retries do not create a second bill and invalid cases produce an actionable error.
Keep this boundary: Never auto-approve, pay or change supplier bank details. A PDF reader does not by itself implement UAE structured e-invoicing compliance.
Which accounting systems can support that project?
- Zoho Books documents bill creation, attachments and approval-related endpoints. Confirm your organisation’s permissions, region, scopes and limits.
- Odoo supports external integrations, but its Odoo 19 JSON-2 documentation says external API data access requires a Custom plan. Check your deployment and version before planning the build.
- Frappe, the framework behind ERPNext, documents REST resource operations. Use an appropriately restricted integration user and verify the Purchase Invoice fields and draft/submission behaviour on your instance.
5. Fleet fine notices: automate tracking, keep decisions human
Weekend scope: 3 to 5 hours using exported records or approved notification emails.
For a business with company vehicles, a useful prototype is an exception tracker that records a fine notice, associates it with the relevant vehicle and routes it to the responsible administrator.
- Use an authorised export, official notification or specifically approved integration. The existence of a public enquiry page does not establish permission or an API for automated access.
- Record fine reference, vehicle identifier, date, amount, source and review status.
- Use the vehicle assignment register to suggest who should review the event, allowing for handovers and disputed assignments.
- Deduplicate on the fine reference and create a reminder for missing evidence or approaching review dates.
- Send the case to a manager or HR for confirmation rather than creating a payroll deduction.
Done when: A duplicate notice creates no duplicate case, an unknown vehicle is flagged and a reviewer can inspect the original notice.
Keep this boundary: Do not bypass a CAPTCHA, scrape a restricted portal, pay fines or automatically penalise an employee. Attribution, disputes, company policy and applicable employment rules require a separate review.
Dubai’s official government information directs users to the recognised traffic-fine enquiry and payment channels. This project is a tracking design, not a claim that RTA offers an unrestricted fines API.
Your Sunday evening acceptance checklist
- The input and output totals agree where relevant.
- Running the same input twice does not create duplicate records.
- Missing fields, invalid amounts and failed connections are visible.
- Every result links to a source, and a named reviewer owns the next step.
- Permissions are limited, secrets are stored securely and logs avoid unnecessary personal data.
- You have a manual fallback and know how to stop the automation.
Write down the baseline time, the new time and the mistakes you deliberately tested. That gives you a portfolio story: a problem, a workflow, a control and an honest result. It is much more persuasive than saying “I know AI”.
