Then someone finds a duplicated reference, a fee posted separately and a transfer that appears on the next day’s statement. The last few items take longer than the easy matches.

That is a sensible place to investigate automation. It is also where a careless pilot can hide an error behind a convincing match. The aim should be a clearer exception queue and a traceable review process.

What is changing in the tools?

Microsoft’s Finance Agent documentation describes reconciliation capabilities in Excel, including help comparing financial data structures, preparing reports and suggesting ways to address discrepancies. It also describes collections support in Outlook. Availability depends on the surface and configuration.

This is a useful signal that AI is moving into specific finance workflows. It is not evidence that your bank account can be connected and reconciled without setup, controls or review. Check current access, licensing and supported integrations with the vendor before choosing a pilot.

Start with one account and a closed period

Choose an account with understandable activity and an already approved reconciliation. Keep the original result as your comparison. Use approved exports, limit access and avoid giving a pilot permission to move money or post entries.

Document the period, currency, opening and closing balances and the expected sign convention. Confirm that the source files are complete. A missing statement page is a data problem, not an interesting AI exception.

Separate rules from suggestions

Agree which matches can be generated by clear rules. For example, your team may accept a unique combination of amount and reference within a defined date window. That is a proposed control design, not a universal rule. It must fit your transactions.

Keep ambiguous cases in a review queue. The same amount appearing twice, a possible split payment or a foreign-currency difference should not disappear simply because a model offers an explanation.

Rule-based match: the agreed criteria are met and the evidence is visible.

Suggested match: a reviewer needs to assess the supporting records.

Unresolved item: evidence is missing or the proposed explanation does not hold.

Make the reviewer’s job easier

For every suggested match, show the source lines, the proposed connection and the reason it needs review. A confidence label by itself tells the accountant very little.

Ask the reviewer to record accepted, rejected or unresolved, with a short reason where useful. Preserve the original data and the final approved result. This gives the team something concrete to inspect when a later question arises.

Measure errors as carefully as speed

Before the pilot, record preparation time and review time separately. Afterwards, compare the proposed results with the approved reconciliation. Count incorrect matches, missed matches and items that still needed investigation.

A faster first pass is not a success if the reviewer spends the afternoon undoing it. Likewise, an apparently high match rate can be misleading when most of the account consists of easy transactions.

Include a few known difficult cases in the test. Can the process leave a genuinely uncertain item unresolved? That can be a healthier result than forcing every line into a match.

Expand only after the process is understood

Discuss results with the accountant who signs off the reconciliation. Decide which controls worked, which records were unclear and what would need to change before using another account or period. Keep journal preparation and approval as separate decisions.

If your team is considering its first finance automation, share the workflow you want to improve. Tell us what takes the time today and where errors usually appear. That makes a better starting brief than simply asking for an AI agent.

Tool capabilities checked on 24 October 2026. The pilot design above is a suggested approach, not a representation of a completed client engagement or a guarantee of results.

For sharing: #FinanceAutomation #BankReconciliation #AIinFinance

Start with one account, clear matching rules and a human review queue.
